TERMS & CONDITIONS OF BOOKING THIS COURSE
We are very much looking forward to welcoming people to our course
MAKING SUCCESSFUL PLANT-BASED CREAMS & LOTIONS,
8th-15th JULY 2026, PORTUGAL.
Course Prerequisites
This course is not suitable for beginners. Attendees need to have some experience of making natural cosmetics. There are various ways that you can show this to Vivienne. If you have not already confirmed this with her, then please email info@theherbalhub.com to check this before you book.
About Classes & Courses
Vivienne has been teaching classes & courses for 22 years! She prides herself on providing an environment which is welcoming to all and where people can relax, learn well and enjoy themselves doing it (even her 1-day classes have been described as ‘like a holiday camp’!).
For residential events, Vivienne puts in an extra level of care to help to ensure that we have a great group where we are highly likely to feel safe, relaxed, supported and happy.
For this reason she asks you to read through and agree to the following before booking:
A Simple Summary:
1. It is Vivienne’s responsibility to do everything she can to ensure that an advertised class or event takes place.
2. It is Vivienne’s responsibility to make every effort to treat people equally and fairly.
3. It is an attendee’s responsibility to do what he/she/they can to attend a place that they have booked or simply accept that they have missed it.
Goodwill Agreement:
Between Course Participants & Course Organisers
To ensure that we do our best for our course to go smoothly and for us all to be able to enjoy ourselves while we learn, we need you to read through and agree to these Terms & Conditions before we can confirm your booking.
SAFETY: We all want to feel safe, relaxed and at ease. Threatening behaviour is not permitted and anyone displaying this will be asked to leave immediately. In such a circumstance no refund would be given.
FRIENDSHIP, GOOD WILL & COMMUNITY: In a time where there is huge turmoil, war & horror in our world with so many people living in fear and insecurity, Lise and Vivienne both feel that now it is even more important that we gather together from different backgrounds and countries to learn with joy. Connecting with the beauty and variety of nature and each other helps to develop bonds between people from around the world and lifts our society to treat each other with respect and warmth. Expressions of support for war, invasion, atrocities, exploitation, oppression or supremacy of any race, religion or ideology over others will not be indulged by us. Anyone behaving this way would also be told to leave and not receive a refund. Let’s create a thriving world with joy, peace, variety, mutual respect and decency.
THIS HERBAL TOUR IS AIMED AT ADULTS. If you have a teenager aged 18 or under who is keen to attend with you then please contact Vivienne before booking to check that this is suitable. The course and venue are not suitable for younger children.
ADDICTIONS: Please do not book this course if you are or have been addicted to (and are not sufficiently-recovered from) intoxicating substances e.g. narcotics or alcohol (nicotine and caffeine don’t count, don’t worry: Coffee will be served!). While we understand that spending time in nature can be deeply healing for people and a wonderful part of the healing journey through these issues, this course is not the place to do it. We are not a treatment centre and we do not have the resources to provide the specialist time, attention and support that is required by any individual with an addiction. Please note that alcohol is widely, cheaply and readily available in Portugal (there is even a bar in our venue). For this reason we do not recommend that people join our course if they are likely to be triggered into a relapse by this e.g. are currently alcoholics or have a history of unresolved alcoholism. We are not able to offer the level of support required by anyone who would be triggered by this. If you book this course and are deemed by any of our teachers or hosts to display signs of these serious and disruptive issues then you will be asked to leave immediately, your fees will not be refunded and you will then be responsible for seeking alternative travel, accommodation etc. for your remaining time in Portugal. Our priority is that the group experiences safety, fairness and fun. We can’t prioritise one person.
SOUND MIND: Our teachers & hosts cannot be responsible for people with psychiatric conditions. In this course we cannot provide the level of care that would be required to support someone with psychiatric issues. Anyone found not to be of sound mind during our course will be sent to the relevant medical authorities and will not receive any refund.
MLM reps: People who use MLM products are very welcome to attend classes & courses in order to learn more about making natural products and using herbs properly. However, during our course they are not permitted to approach or recruit group members for sales or to the MLM structure. [MLM = Multi Level Marketing: examples of companies with this business model include Forever Living, Do Terra, Avon, Young Living, Herbalife etc.] We can discuss these if anyone wants to: but recruiting for more reps or customers is not permitted (the sales pitches used by some of these companies can be very aggressive and very misleading).
The Venue
Accessibility: Our beautiful venue is a traditional Portuguese villa that was built over 100 years ago. Parts of it have steps and stairs (although it is not usually essential to use these areas). It is not suitable for wheelchairs. We will also be out in the gardens collecting wild and cultivated herbs. We will walk on short grass. There are not paved pathways. If you have physical issues or disabilities that you think may be an issue then please talk to Vivienne about these before booking, so that we can discuss whether or not our venue is suitable for you. She has plenty of photos she can show you and can also guide you to the easiest accommodation selection should you need to be on the flat. When a participant pays the deposit this is taken as the participant accepting our venue.
Not sure if our venue is right for you? If you haven’t already done so, please watch Vivienne’s video presentation showing our venue. CLICK HERE to view it.
Wildlife & animals: Our beautiful venue is rural. You are likely to hear birds and other wildlife. Also onsite are two small dogs, one cat and a few hens. They are very unlikely to bother you! The site is large so there is no need for them to come near you unless you want them to.
Ethics & Standards
Vivienne is not a multinational corporation. She does not use slave labour, zero hours contracts, a less than living wage, apply pressure to government ministers or politicians for low corporate tax rates, damage the environment by skirting environmental regulations etc. or any of the other dubious practices that enormous companies have been known to engage in so that they can provide very low cost products (so often to the detriment and misery of the staff who work for them) while still making extraordinary profits for their company and huge bonuses for their board of directors.
In complete contrast, Vivienne supports and pays everyone fairly for their work, time and materials (e.g. fair-trade ingredients, certified organic ingredients, beautiful home-grown foods etc.) so that people doing good, beautiful healing things for our planet can actually do so. Vivienne actively supports work that creates a healthy planet and healthy people. She is able to run her classes, courses and events to these standards because people like you are interested and buy tickets for them. THANK YOU!
Payments, Cancellation & Refund Policy
Vivienne is financially responsible for running this event.
She is not financially responsible for course participants who book the event but who may later change their mind about attending it (whatever the reason for non-attendance may be).
♥ DEPOSITS:
These are essential to book your place. Places will not be reserved for people without the payment of a deposit.
Deposits are non-refundable (unless there is a waiting list and someone else can fill your place or you know someone else who wants to take your place and pay the full ticket price instead).
Deposits cannot be transferred to the same course (or another event in-person or online) on another date or year. This is because deposits are specifically for the event that you book on the date that is advertised. Deposits are essential for ensuring that each event can take place on the advertised date. Deposits are accepted via debit card, credit card or Pay Pal. Vivienne will email you a link to pay your deposit. If you would prefer to pay by bank transfer or another method, then please email her to arrange that instead.
♥ PAYING THE BALANCE OF YOUR INVOICE:
Vivienne will send an invoice for the remaining balance or invoice for instalments (usually with a maximum of 3 instalments). If you need to put in place a different arrangement then please ask Vivienne. She would be happy to try to help you.
Payment for the balance of your invoice is requested via bank transfer. This is due to the high fees charged by card processors: experience has shown us that it is usually much better value to pay via bank transfer. Vivienne is happy to provide any security details that your bank may request, including doing a live video call with you (sometimes requested to prove that she is a real person and not an online scam or deepfake).
If you would still prefer to pay by credit or debit card then this is of course fine. However, in this case you would be responsible for paying the card processor’s charges. Vivienne would add those to the final total invoice balance due. If you would like to pay this way then please email Vivienne to arrange this.
♥ PAYMENT DEADLINE:
The full balance due must be received by 24th April 2026 (in some circumstances it may be possible to extend this: please contact Vivienne if you need to). Refunds will not be possible after this date.
♥ CANCELLATIONS & REFUNDS:
Cancellation by you, the PARTICIPANT: Deposits are non-refundable. Cancellations received before 16th March 2026 will receive a refund (minus the deposit). No refunds are available after 24th April 2026 because we will be in full preparation for the course with materials ordered, printing ordered etc. However, if you are unable to take up your place as planned but know someone else who would like to attend in your place then we can swap your booking to that person, with you two sorting out the course money between yourselves. Please remember that the new person will need to book their own travelling to Portugal (plane tickets are usually non-transferable) but we would be happy for them to use the course place and accommodation that you had booked for yourself (assuming that they meet and agree to the T&Cs of attending the course).
Cancellation by Vivienne, the COURSE ORGANISER: In the highly unlikely event that Vivienne needs to cancel our course (this would only be in extreme circumstances e.g. accident, car crash, sudden urgent serious illness etc.) then the full fee for the course (including your deposit) would be refunded to you as soon as possible. Your travel costs (flight etc.) would not be refunded (we recommend you take out travel insurance to cover this).
Cancellation by guest teachers: In the highly unlikely event that either Lise Andersen or Marju Kivi experience an emergency and cannot teach their classes during our course then Vivienne will do her very best to provide suitable substitutes. If she is unable to do so then she will refund the teaching fee part of the ticket for the lesson/s that have not been provided due to this emergency.
TRAVEL INSURANCE:
Medical: Public healthcare in Portugal is free or very cheap for people who are citizens of an EU country and have a European Health Insurance Card (EHIC). For people from outside the EU e.g. UK, Canada, USA etc. then it is highly recommended that you purchase suitable medical insurance.
Other travel issues: Unexpected things sometimes happen, so we strongly recommend that no matter which country you are a citizen of, you purchase travel insurance to cover the duration of your trip (from the time that you leave your home until you return safely & happily back to it again). It is a good idea to consider travel insurance that covers medical issues (illness, emergencies etc.), flight or airport delays/cancellations/strikes, changes to your route, trip cancellation, unexpected events etc. Should any of these circumstances arise and you don’t have a travel insurance policy to cover your unexpected expenses then please note that Vivienne, her guest teachers and the owners of our venue cannot be held liable to cover them for you. Undertaking travel without a suitable insurance policy is entirely your own financial risk. We want you all to have a wonderful time and a reliable insurance policy can really help to put your mind at ease.
